What is GearDesk?

GearDesk is self-checkout equipment tracking for teams that share gear. Every item gets a QR label. Your crew scans to check gear out, names a realistic return window, and scans again to bring it back. You get a live picture of where everything is without chasing anyone.

Who is GearDesk for?

Photography and video studios, churches, AV teams, schools, and production companies. Any group where equipment moves through many hands and someone is tired of being the human spreadsheet.

How does equipment tracking work?

Each asset carries a QR label. Scanning it opens the item, and checkouts, returns, transfers, and condition changes are recorded automatically in an audit trail that cannot be edited after the fact. The inventory always reflects who has what and when it is due back.

Can I import my existing inventory?

Yes. You can bulk import your gear list from a CSV file, and you can add single items by pointing your camera at them: GearDesk's photo intake reads the item and drafts the record for you.

Do you support barcodes and QR codes?

Yes. GearDesk generates QR labels for your assets and supports printing them on standard label sheets, so you can tag a whole shelf in one pass and scan with any phone camera.

Can multiple team members use it?

Yes, and team size never affects your bill. Every plan includes unlimited members. You invite people by email and they get their own login.

Can I customize permissions?

GearDesk currently has two roles. Admins manage the organization, inventory, and billing. Staff can view gear, scan, check out, and return. Finer-grained roles and a read-only role are on the roadmap.

Does it work on mobile?

Yes. GearDesk runs in the browser and is built for phones, since scanning and checkout happen standing at a shelf, not sitting at a desk.

Does it work offline?

Yes. Checkouts and returns work with no connection. They save on your device, show as queued, and sync automatically when signal returns. If something changed while you were offline, like a colleague taking the same item first, the app tells you which action did not go through and lets you retry it.

Can it track maintenance?

Yes. GearDesk opens maintenance tickets automatically when an item crosses a usage threshold you set (checkouts or hours), or when it comes back in poor condition, and you can open tickets manually. Gear in maintenance is marked unavailable until the ticket is closed.

Can I assign equipment to jobs?

Yes. Create a project with a client and dates, build its packlist, and check the whole list out in one step. Rig plans and reusable templates let you plan a setup once and start the next job from it.

How is my data secured?

Traffic is encrypted over HTTPS, and every organization's data is isolated at the database level with row-level security, enforced by the database itself rather than trusted application code. Equipment history lives in an append-only audit log, so custody records cannot be quietly rewritten.

What happens if I cancel?

Your subscription runs to the end of the paid period and does not renew. Your account and inventory remain, subject to the Free plan's limits, so you can come back or wind down on your own schedule. If you want your account removed entirely, contact support and we will take care of it.

What support do you offer?

Email support for every plan, plus the support page with guides. There is also a feedback button on every page, and yes, a human reads those.

How does pricing work?

You pay by fleet size, never by team size. Free covers up to 25 assets. Basic is $9.99/month for up to 50 assets, Core is $29/month for up to 300 assets, and Pro is $79/month with unlimited assets. Basic, Core, and Pro all include a 14-day free trial with no card required. Details are on the pricing page.
